About the Out of Office Message Generator

An out of office message generator writes your email auto-reply for you: pick a tone, add the date you're back and a backup contact, and it produces a clean, ready-to-paste message. This one runs entirely in your browser — no signup, nothing stored — and includes copy-ready examples for every situation plus exact steps to switch the auto-reply on in Outlook and Gmail. A good out-of-office message does three jobs: it tells senders when you'll be back, sets the right expectation about replies, and points urgent requests to someone who can help.

How to use the Out of Office Message Generator

  1. 1

    Pick a tone

Choose professional, friendly, simple, funny, or holiday — the generator rewrites the wording to match how formal you want to sound.

  2. 2

    Add your dates and details

Enter the date you'll be back, why you're away, whether you'll check email, and an optional backup contact for urgent matters.

  3. 3

    Preview the message

The message updates live, with a matching subject line. Tweak any field until it reads the way you want.

  4. 4

Copy it into Outlook or Gmail

Click Copy message, then paste it into your Automatic Replies (Outlook) or Vacation responder (Gmail). Step-by-step for both is below.

How to set up an out of office reply in Outlook (new, web, 365, and app)

Where the setting lives depends on which Outlook you open. Use the path that matches yours:

  • New Outlook for Windows / Outlook on the web: go to Settings (gear) → Accounts → Automatic replies, turn it on, tick Send replies only during a time period and set your dates, type your message (you can set a different one for people outside your organization), then Save.
  • Classic Outlook / Microsoft 365 desktop: go to File → Automatic Replies (Out of Office), choose Send automatic replies, set the date range, and type your message on the Inside My Organization and Outside My Organization tabs, then OK.
  • Outlook mobile app: tap your profile → Settings → your account → Automatic Replies, toggle it on, and enter your message.

One catch competitors skip: the Automatic Replies option only appears for Exchange and Microsoft 365 accounts. If you use Outlook with a personal Gmail, Yahoo, or other IMAP address, there's no built-in out-of-office — you have to build a rule with a message template instead.

How to set up a vacation responder in Gmail

Gmail calls its out-of-office the Vacation responder, and it has one quirk worth knowing before you rely on it:

  • On a computer: open Settings (gear) → See all settings → General, scroll to Vacation responder, switch it on, set the first day and last day, add a subject and message, and click Save changes at the bottom.
  • In the Gmail app: tap Menu → Settings → your account → Vacation responder, toggle it on, set your dates, subject, and message, then Save.
  • Optional: tick Only send a response to people in my Contacts to keep the auto-reply away from mailing lists and strangers.

The quirk: Gmail sends the vacation reply to any given person at most once every four days, even if they email you repeatedly. That's deliberate anti-spam behavior — so don't expect every message to get an instant auto-reply.

Out of office message examples for every situation

Copy any of these and swap in your own dates, name, and backup contact. Each is written for a different tone and audience:

Professional — Thank you for your email. I'm currently out of the office and will return on [date]. I'll have limited access to email during this time and will reply as soon as possible after I return. For urgent matters, please contact [name] at [email].

Simple — I'm out of the office until [date] with no access to email. I'll reply when I'm back. Thank you for your patience.

Friendly — Thanks for reaching out! I'm away until [date] and slow to reply until then. If it's urgent, [name] ([email]) can help. Otherwise, I'll get back to you as soon as I'm back at my desk.

Funny — My inbox and I are taking a short break from each other until [date]. Your email is safe, unread, and patiently waiting in line. If it truly can't wait, [name] ([email]) is today's hero. Otherwise, see you when I'm back — refreshed and mildly sunburned.

Holiday / Christmas — Our office is closed for the holidays and I'll be away until [date], spending the time with family and away from my inbox. Wishing you a happy and restful holiday season — I'll reply once I'm back in the new year. For anything urgent, contact [name] at [email].

Parental or medical leave — I'm currently on leave and will return on [date]. I won't be checking email while I'm away. For anything that needs attention before then, please reach [name] at [email], who will be glad to help.

What a good out of office message needs

The best out-of-office replies are short. Four elements do almost all the work:

IncludeWhy it matters
The date you'll be backThe single thing every sender actually wants to know
Whether you're checking emailSets expectations so no one waits on a reply that isn't coming
A backup contact for urgent mattersKeeps work moving and cuts down on 'when are you back?' follow-ups
A brief, warm closingYou're still representing yourself and your company while you're away

Everything else — your full itinerary, a life update, a long disclaimer — is optional at best and a liability at worst (see below).

Out of office mistakes to avoid

  • Don't reveal you're away from home. 'I'm in Bali for three weeks' quietly tells strangers your house is empty — and auto-replies reach spammers too. Keep it vague: 'out of the office' is enough.
  • Don't forget an end date. Set the last day in Gmail or Outlook so the reply switches off by itself; a message still auto-replying weeks later looks careless.
  • Don't use a funny or holiday tone for the wrong audience. A joke that lands with colleagues can read badly to a new client — match the tone to who actually emails you.
  • Don't assume everyone gets a reply. Gmail answers each person only once every four days, so repeat senders may not see your message every time.

Setting up more of your email while you're at it? A tidy email signature and a few Gmail filters to auto-sort what piles up mean a lot less to clean when you're back.

Frequently asked questions

Is this out of office message generator free?
Yes. It's completely free with no signup and no limits. Everything runs in your browser, and nothing you type is uploaded or stored.
How do I set an out of office message in Outlook?
In new Outlook or Outlook on the web, go to Settings → Accounts → Automatic replies, turn it on, set your date range, type your message, and save. In classic Outlook, use File → Automatic Replies. Note that this option only appears for Exchange and Microsoft 365 accounts. Full steps are in the section above.
How do I set an out of office message in Gmail?
Gmail calls it the Vacation responder. Open Settings → See all settings → General, scroll to Vacation responder, switch it on, set the first and last day, add your subject and message, and click Save changes. Gmail replies to each person at most once every four days.
What should an out of office message include?
The date you'll be back, whether you're checking email, and a backup contact for anything urgent — plus a short, warm closing. Keep it brief and avoid sharing your full travel plans or that your home is empty.
Can I schedule the message to turn on and off automatically?
Yes. Both Gmail's Vacation responder and Outlook's Automatic Replies let you set a start and end date so the reply switches on and off on its own — always set the end date so it doesn't keep replying after you're back.
What's a good professional out of office message?
"Thank you for your email. I'm currently out of the office and will return on [date]. I'll have limited access to email and will reply as soon as possible after I return. For urgent matters, please contact [name] at [email]." The generator above fills this in for you and offers friendlier or lighter versions too.
